Deskripsi Pekerjaan

Assistant in Charge of Secretariat

Location: Jakarta, Indonesia Sampoerna Strategic Square

Position: Full-time Role

Purpose: To provide administrative, organizational, and communication support to ensure the smooth functioning of the secretariat and overall office operations.

Key Responsibilities:

  • Manage the day-to-day operations of the secretariat, including scheduling meetings, maintaining calendars, and organizing travel arrangements.

  • Handle correspondence, emails, and phone calls on behalf of the management team.

  • Prepare reports, presentations, and documents as required.

  • Maintain accurate records, filing systems, and databases for contracts, legal documents, and company policies.

  • Liaise with internal departments, international offices, and external stakeholders to facilitate smooth communication and collaboration.

  • Monitor and order office supplies, ensuring adequate inventory levels.

  • Ensure adherence to local laws and company policies in all secretariat activities.

  • Maintain confidentiality and manage sensitive information with discretion.

  • Provide support and assist in drafting business correspondence.

    Skills & Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field preferable

  • 5 years or more of experience in administrative or secretarial roles, preferably in an international organization.

  • Proficiency in English and Bahasa Indonesia (both written and spoken).

  • Strong organizational and multitasking abilities.

  • Excellent interpersonal and communication skills.

  • Attention to detail and problem-solving skills.

  • Proactive, adaptable, and able to work independently. Additional Requirements:

  • Ability to handle multiple tasks and work under pressure in a dynamic environment.

  • Flexibility to occasionally work beyond standard office hours for urgent tasks or events.

  • Understanding of cross-cultural communication and international business etiquette.
